Terms and Conditions

Terms and Conditions for Team Registration - Inca Link Canada

1. Trip Details & Payment
-The trip duration is 10 days, with a fee of $00 CAD, covering ground transportation, insurance, lodging, meals, ministry project funds, and more. Flights are not included.  
-The deposit of $500 CAD per team is non-refundable and must be submitted to secure registration. The deposit will be applied toward the total trip cost.  
- Final payment is due 45 days prior to departure. All payments should be made via cheque or electronic transfer as specified.

2. Availability & Confirmation  
- Inca Link Canada reserves the right to accept or decline registration based on availability.

3. Team Application & Documentation  
- All team members must complete and submit the Team Registration Form at least 45 days before departure.  
- Leaders will have access to the roster report to verify completed applications.  
- Minors travelling without a guardian must submit a signed Permission to Travel form.

4. Child Safety & Consent
- All team members, including minors, must watch the Child Safety Video and sign a confirmation of completion.  
- Photos of children should not be posted on social media to respect privacy and safety.

5. Background Checks & Vaccinations
- Participants over 18 are required to submit a background check.  
- We encourage you to seek out which vaccinations (if any) you will need for your trip with your family Doctor.   
- It is the participant’s responsibility to obtain necessary immunizations and travel documents, including passports and visas appropriate for their trip.

6. Travel Arrangements & Documentation
- Flight arrangements are to be made by the team.
- Original flight information must be submitted and updated if there are any changes.  
- Passports must be valid for at least six months beyond the trip end date.

7. Preparation & Training
- Participants are expected to engage with pre-trip training materials and attend team meetings.  
- Additional guidance and coaching may be provided pre-trip.

8. Conduct & Responsibilities
- Participants agree to follow all safety policies, travel guidelines, and instructions from team leaders during the trip.  
- The organization is not responsible for any personal belongings, health issues, or travel delays outside their control.

9. Insurance & Health  
- Travel insurance is included in the fee.  
- Participants are responsible for obtaining any additional health insurance they may desire and the immunizations required.

10. Liability & Release
- Inca Link is not liable for any injuries, illness, or accidents that occur during the trip.  
- Participants agree to release Inca Link and associated representatives from claims arising from participation in the trip.

11. Amendments & Cancellations
Changes to trip dates or itinerary are at the discretion of Inca Link.  
Cancellations by participants must be made in writing; the deposit is non-refundable.  
Final payments are non-refundable unless otherwise specified

12. Privacy & Media
Participants consent to the organization photographing and recording activities for promotional purposes, with respect to privacy policies.

13. Miscellaneous
 By continuing, you acknowledge your acceptance of these terms and conditions, and participants agree to abide by these Terms and Conditions.
